Facility Reservations and Rentals

McNeese understands the importance of our role in the community and the audiences we serve. When available, the University may provide facilities and resources to our students, employees and sometimes the community for events that help fulfill the University’s mission through instruction, research, public service, academic support, student services, institutional support and auxiliary programs.

Campus facilities are governed by Louisiana Revised Statutes, building and fire safety codes, and policies of the Board of Regents, University of Louisiana System, NCAA and McNeese State University. Please review our Facility Use Policy to learn more.

Please Note: The needs of our students and employees have priority, and external groups will not receive approval for their events until all other University functions have been scheduled. 

The University reserves the right to restrict access to any facility for reasons related to its function, personnel, or contents. (Read more.)
  • Residence halls may be restricted to residents, their guests, and housing employees
  • Classrooms may be restricted to faculty and registered students
  • Laboratories may be restricted to students and faculty conducting research
  • Rooms with equipment or fragile items may be restricted to those who have relevant knowledge and permission for their use
  • Rooms containing confidential information may be limited to authorized personnel

Standard Definitions

Venue Coordinator — designated faculty or staff member who keeps the schedule of classes and activities for a facility.

Event Coordinator — the primary point of contact for an organization who oversees organizing an event.


Insurance Requirements and Indemnification Agreement

Indemnification Agreement

All Booster Groups, Corporate Camps, and External Groups must provide a certificate of commercial General Liability Insurance and must sign an Indemnification Agreement prior to event.

General Liability Insurance

If you will be hiring vendors for services like sound and lighting, merchandising and food, these vendors are considered contractors and each contractor hired must submit proof of General Liability Insurance and sign an Indemnification Agreement prior to event.


Facility Use and Other Fees

Events may require payment of a facility use fee. Additional fees for custodial services, security personnel, and event set-up and support also may apply.


Publicly Available Spaces


  1. Access the online request form using the button below.
  2. Answer all questions fully; be as specific as you can; do not be afraid to enter too much information! Be advised: a lack of information may result in review delays.
  3. Submit the request; DO NOT proceed any further until you receive a response.
  4. The request will be routed automatically through an approval process that may take a few days. You will receive an initial system-generated confirmation that your request has been successfully submitted and you will receive a final confirmation when your event is fully approved.
  5. To ensure that your event can be supported, your request will be reviewed by any offices or departments across campus that would have responsibilities related to your event. You may receive requests for additional information from those areas, which may include University Police, Administrative Accounting, Custodial, etc.
  6. If your event includes billable expenses, you will receive an estimate of expenses prior to the final approval of your request.
