Facilities Use Fee Guidelines and Rates

Facilities Use Fee Guidelines and Rates

A Facilities Use Fee may be assessed when campus facilities/venues are used for a special event, lease or rental. The State of Louisiana Constitution Article 7, Section 14(A) prohibits the use of public facilities for private or personal gains without the assessment of a use fee.

Who Is Charged A Facility Use Fee?

Any group or organization, whether affiliated with McNeese or unaffiliated, may be charged a use fee depending on the nature of the event.

Officially-recognized student organizations and University divisions and offices are not charged use fees as long as any revenue generated by the event is deposited into a University account and none of the revenue becomes personal monetary gain.

Affiliated organizations — an entity acknowledged by the University that is legally distinct from the University but is either (1) operated for the benefit and in support of the University or (2) conducts activities that advance the mission of the University — may be granted a waiver of the use fee if 100% of the revenue generated by the event is deposited into an account specifically setup for the program. (i.e. No portion of the revenue can be kept by the organization and no portion of the revenue can become personal monetary gain.)

Quasi-affiliated organizations — typically reserved for youth sports camps operated by McNeese coaching staff, these organizations operate as LLCs and are legally distinct from the University, but conduct activities that advance the mission of the University — may be granted a discounted daily fee.

Non-affiliated organizations (any for-profit or not-for-profit entity that is not a student organization or an affiliated or quasi-affiliated organization) will be assessed facility use fees unless the group is a federal or state agency which needs to disseminate information or aid in times of crisis.

Important Rules and Restrictions. See the Facilities Use Policy for complete information.

  • Only the President can waive or reduce a use fee.
  • Fees are not refundable.
  • Additional fees may be charged for custodial services, landscaping services, event set-up and support, security services, traffic control, access control, etc.
  • McNeese State University is not responsible for any loss of revenue sustained by the event organizer in the case of a cancellation by the university.
  • McNeese State University reserves the right to assess fees for services and equipment and to retroactively assess fees for an event that was unclear in its original description and required additional planning and coordination by the University.
  • Event coordinators may still be charged fees retroactively, even if the event did not happen as planned.
  • All fees and charges will be invoiced by McNeese Administrative Accounting.

Additional Fees

Additional fees may be applicable if an event requires resources that create an additional expense for the university, such as security personnel, after-hours custodial services, or event site preparation.

An estimate of all expenses, including facility use fees and additional fees will be provided to the event organizer before the event is fully approved.

Ashley Bass

I am a McNeese graduate with a bachelor's degree in Family and Consumer Science and a concentration in Child and Family Studies. As a student, I competed on the rodeo team and served on the SGA board. I earned my master’s degree in 2022 from the University of South Dakota in Educational Administration and Leadership with a concentration in Adult and Higher Ed. I have over 13 years of experience in adult education and 20 years of educational experience.

My favorite part of being a Freshman Advisor is helping students navigate their new life routine as a college freshman by offering support with in-person office visits or by email to help students meet their goals. I always remind students of my favorite BB King quote – “Education is one thing no one can ever take away from you.”  I believe that supporting students is vital to a student's success.

In my spare time, I raise registered American Brahman cattle, and I enjoy all the "country girl" things like hunting, fishing, growing a garden and cooking.
