Holbrook Student Union Policy Update

(updated Fall 2013)

Holbrook Student Union is busier than ever. In order to better serve our patrons, we wanted to clarify some points regarding reservation processes, paperwork, and equipment usage. This information is primarily for student groups, university departments/colleges, and other on campus entities. All reservations by off campus personnel should be consulted with Mrs. Phyllis Prejean or another Student Union & Activities Office staff member in her absence(337-475-5609 / studentunion@mcneese.edu) .


Operating Hours


New Ranch Facility

Monday - Thursday: 6:00am - 10:30pm
Friday: 6:00am - 4:30pm
Saturday - Sunday: (according to Frazar Memorial Library operating hours or as necessary)

Old Ranch Facility

Monday - Sunday: 6:00am - 12:00am

Student Union & Activities Office (New Ranch)

Monday - Friday: 7:45am - 4:30pm
Saturday-Sunday: Closed

Information Booth (New Ranch)

Monday - Thursday: 8:00am - 10:30pm
Friday: 8:00am - 4:30pm
Saturday - Sunday: (as needed)


Meeting Room Requests

If you are a registered student organization/university department and wish to reserve a room for a meeting, the process is simple. To find out if a room is available on the desired date and time visit Student Union Reservations. If it is, then you can fill out an online Meeting Room Request Form which only needs an Organization representative's digital signature. Meeting request should be turned in no less than 24 hours prior to the scheduled meeting.   

Outside entities may use the online request form as well.  However, additional consultation may be required according to fees associated with your reservation.

Table Requests

If you are a registered student organization/university department and wish to reserve an information table, the process is simple. Fill out an online Table Request Form which only needs an Organization representative's digital signature. A phone call or email will confirm or deny your reservation.  Student organizations completing table requests for fundraising or cash transaction purposes must also complete the Student Organization Fundraiser Request Form.

Outside entities may use the online request form as well.  However, additional consultation may be required according to fees associated with your reservation.

Special Events Requests

Pease start this process early. When using the Special Events Request Form all signatures must be obtained and the form completed prior to the event being confirmed.


Visit Student Union Reservations to find out if the space is available, then come by or call the Student Union & Activities Office at 337-475-5609 to confirm. If it is, then you can start filling out the Special Event Request Form . All of these signatures must be obtained in order and the form completed and turned back in  prior to your event to ensure a confirmation of your event. No event is confirmed until the form has been received by the Student Union & Activities Office with all required signatures.


This form will need signatures from the following people in this order:

  1. Event Planner: you sign

  2. Faculty Advisor: your advisor signs verifying their knowledge and consent for the event

  3. University Services: Mr. Nicholas signs verifying your organization's status (Dr. Thomas or Dr. Osburn in his absence)

  4. Reserving Office: Mrs. Prejean signs, verifying the space has been reserved by you

    Many events will end here. Events which occur after normal business hours, generate revenue, or require extensive set-up and clean-up will need to have the rest of the signatures on the form.

  5. Facilities & Plant Operations: Richard Rhoden signs, verifying event will not interfere with other large campus events

  6. MSU Police: University Police signs verifying their determination of event security

  7. Comptroller: Mona White signs, verifying any revenue collected will be handled in compliance with University policy

All required signatures must be obtained and the form completed and turned back in prior to your event to confirm technical services. No technical services are confirmed until the form has been received by the Student Union & Activities Office with all required signatures.

Technical Equipment/Services Requests

If you would like to request technical equipment services you will need to fill out the online Technical Equipment Request Form. Technical equipment sevices are not guaranteed and is administered upon availability. Contact the Student Union & Activities Office at 337-475-5609 or studentunion@mcneese.edu if you have questions about technical services.



Other Information

  • If you have candles at your event, will be hosting a cookout, or having any type of other open flame etc. you will need an Open Flame Permit .
