Guidelines For Supervisors Hiring Departmental Budgeted Student Employees

- Departments employing students through departmental budget funds are required to submit a Student Employee Request Form to the Student Employment Office. The Student Employee Request Form can be downloaded from the Student Employment website at www.mcneese.edu/hr or you may obtain a form from the Student Employment Office.
- If the student being employed is a new hire, the student must complete New Hire Paperwork.
- If a student is employed in more than one job, a Multi-Job Notice will be sent to the hiring supervisors to be completed and returned to the Student Employment Office, Box 90815.
- < If the request for a rate of pay exceeds $5.15 (minimum wage), a Justification for Higher than Minimum Wage Rate of Pay Form is required and must be completed and attached to the Student Employee Request Form. The Justification Form can be downloaded from the Student Employment website.
- Prior to beginning employment:
1. All departmental budgeted student employees MUST obtain a Work Assignment Card BEFORE beginning work.
2. Do not allow students to begin employment without a Work Assignment Card.
3. All new hire employees are required to report to the Student Employment Office with completed New Hire Paperwork. These employees are given a copy of the Student Employment policy.
4. New Hire Paperwork may be downloaded from the Student Employment website.
5. Documentation necessary to prove employment eligibility and identity (social security cards, driver's licenses, etc.) must be in the original form.
6. All new hire International employees must obtain a Letter of Evidence of On Campus Employment from the Student Employment Coordinator, so that they may apply for a social security number for the purpose of payment of wages.
- It is the responsibility of the supervisor or their designee to submit properly completed time sheets to the Student Employment Office. Student workers cannot deliver time sheets.
- All communications concerning Student Employment services will be delivered via campus list serve. Policy and form updates will be posted to the Student Employment website.
