POLICY ON EMPLOYEE ENROLLMENT IN CLASSES AT THE UNIVERSITY

II.X. FACULTY AND DEPENDENT ENROLLMENT IN THE UNIVERSITY

A McNeese employee may enroll in the University with the approval of his/her immediate supervisor or department head, and dean or vice president/President. He or she may attend no more than one 3 credit hour course per semester during the normal workday and may not exceed 3 clock hours of class attendance per week (including lunch). Employees taking classes may utilize available lunch and break time; all other leave must be charged and recorded on time and attendance records for absence. No restrictions are placed on attending night courses or courses outside of normal work hours. Faculty/staff members may not take courses for credit which are taught in the department OR THE DISCIPLINE in which the faculty/staff member is employed. No regular faculty member or full‑time administrative employee will be admitted to a program beyond the Master's Degree at the University.

Fee exemptions for normally scheduled courses are granted to faculty members upon presentation of a properly completed “Application for Employee Fee Waiver/Authorization to Take University Classes" or a “Fee Exemption for Dependents of Faculty/Staff Employees” at the time of registration. This form must be approved and signed by all supervisor levels required on the form and Human Resources. Only current versions of the form will be accepted; this form may be obtained on the McNeese website or in Human Resources.

Any employee who resigns from employment with the University prior to mid-semester is required to reimburse the University for the amount of the fee exemption granted during that semester.

Dependents of currently‑employed faculty members may also be eligible for a reduction of tuition. The form for this exemption may be obtained on the McNeese website or in Human Resources.

 

II.Y. FEE EXEMPTION FOR FACULTY, STAFF, AND DEPENDENTS

A faculty or staff member who has been employed full-time at a University of Louisiana System institution or System Office at least two years may enroll for undergraduate or graduate instruction at a reduced fee schedule which shall annually be set by the Board.

  1. Spouse and children of full-time faculty and staff members employed at a University of Louisiana System institution for five years may attend that institution for undergraduate instruction only at a reduced fee schedule which shall be set by the Board, plus any student assessed fees at the institution. Generally, children who qualify will be limited to those who are eligible dependents for tax purposes. Proof of eligibility will be required.
  2. The reduced fee schedule for qualified faculty, staff and dependents shall provide for a minimum charge of $254 per semester for full-time students. This minimum charge consists of the non-waivable Academic Excellence, Operational, and Technology fees. Part-time students will receive a reduced fee based on a proration of the full time minimum charge.
  3. Dependents of deceased faculty and staff shall be eligible for the tuition exemption provided for herein provided the faculty or staff was in service to the institution and eligible for the exemption when death occurred.
  4. Dependents of disabled faculty or staff, as determined by the Teacher's or State Employee's Retirement Systems but otherwise eligible for the tuition exemption provided for herein, shall maintain eligibility for the tuition exemption.
  5. Faculty and staff are granted the tuition exemption from self-assessed fees, with the exception of the Academic Excellence, Operational, and Technology fees as set by state legislation, but dependents shall not be exempted from self-assessed fees.
  6. Board staff shall also be eligible for fee waivers at any system institution in accordance with the provisions of this section.
  7. Fee exemptions for faculty, staff, and/or dependents not eligible according to the provisions stated above may be approved on an individual basis by the university President.
  8. Internal Revenue Service code 117(d) requires that exemptions for graduate students are taxable except to those who are teaching or in research positions. The taxable amount of the exemption will be included on Form W-2.
